Guide to Scanning Documents: Optical Character Recognition (OCR) Software on Lab Workstations

Note: Text documents must be scanned on Sirius or Supernova. Since there are only two scanning workstations in the lab, please save scans to your Z: drive and edit them with a text editor on one of the other computers.

1. Open the scanner by raising the lid and place your image face-down on the glass panel.For Sirius, place scanning material in the bottom right corner. For Supernova, place the material in the top right corner.

 

2. Open OmniPage by clicking START - PROGRAMS - SCANSOFT OMNIPAGE 15.0 - OMNIPAGE PROFESSIONAL 15.0. If an Update Window appears, close it without downloading the updates. A Tip of the Day box will pop up. Read it if you like, and then click CLOSE.

 

3. Across the top of the page, you will see four drop-down boxes. Make sure that they are set to 1-2-3, SCAN, AUTOMATIC, and SAVE TO FILE.

 

4. Click on the 1-2-3 box above the 1-2-3 drop-down menu to start the scan process.

 

5. If this is the first time that you have used the OCR software, a series of ScanSoft Setup Software Wizard boxes will pop up.

 

a) If you're using SIRIUS, you'll need to click NEXT three times before you're presented with a box that asks: Would you still like to test your device with OmniPage 15.0? Select No (recommended) and click NEXT. Then click FINISH.

b) If you're using SUPERNOVA, click NEXT twice, then select TWAIN: HP PrecisionScan Pro 1.0 and click OK. Then click NEXT.

 

 

6. Re-click the 1-2-3 box above the 1-2-3 drop-down menu to restart the scan process.

 

7. When your first page has scanned, a Continue Automatic Processing box will pop up to ask if you have more pages to scan. If you wish to add pages to your scan job, click ADD MORE PAGES and repeat process above. Otherwise, click STOP LOADING PAGES.

 

8. An OCR proofreader will pop up to help you modify words that the program suspects have not been recognized correctly.

 

9. A Save to File dialogue box will appear. Select your Z: drive and give your file a name. Next to save as: select Text, and next to Files of Type: be sure that Microsoft Word 2000, XP (.doc) is selected. Click OK.

 

10. You will now be able to open your scanned document in MS Word. Close the OmniPage program. (There is no need to save your OCR document if you have already saved it as a text file.)

12. Don't forget to retreive your document from the scanner!
